Email Management Framework
By now, you would have seen or heard of the Email Management Framework. Many in our IT community have been working with the Email Management Framework project team to strive toward solutions for the organization.
But have you started to look at the actions you need to take before January 1, 2025? We wanted to highlight some steps you can take now to prepare for January 1. As a reminder, at the start of 2025, only emails from the past seven years, including attachments, will be available and you will no longer be able to access or create PST files.
What should I be doing to prepare and when should I start?
If you haven’t started to prepare, the time is now! A great place to start is to work with your respective teams to identify what critical content should be saved outside of Outlook before January 1 Use the below questions to help you plan your efforts:
- Do I have any PSTs that contain critical information that I need to upload into Outlook? If so, utilize our guide in the FAQ Document to do so.
- Do I have emails or attachments that need to be saved outside of Outlook, starting with those older than seven years? If yes, utilize our Outlook Cleanup Guide to prioritize and begin the process of cleaning out your inbox.
- Going forward, what alternative solutions should I be using to save and maintain important content? As a review, in our last global communication, we provided the below suggestions for you to consider based on your needs.
For project documents/knowledge:
a. SharePoint : Good for legacy documents, compliance, and audit-required information.
b. OneDrive: Provides personal file storage with internal/external sharing via links.
c. Teams: Effective for project team collaboration, including a chat feature.
d. Documentum: Similar to SharePoint, and good for project teams looking for comprehensive storage for project documentation.
For key customer and vendor correspondence via email:
a. Print to PDF: Key email messages can be printed to PDF and then saved to an approved project or team storage location.
To print to PDF from Outlook, you will need to request an Adobe Pro license via DASH. Please note that a charge code will be required for the requestor.
For contracts for GSUS and corporate:
a. Costpoint: KBR contracts are managed and stored here.
For invoice approvals:
a. OnBase: It is one possible option to consider for invoice approvals.
For approvals/change management:
a. DASH: Allows teams to manage approvals and maintain change records.
b. DocuSign: Includes templates for approval processes related to audit items, or any long-term review of approvals.
If you have any questions about the above solutions, or you feel your process is more complex, please feel free to reach out to the project team for assistance: EmailManagementProgram@kbr.com. We are confident if you start thinking about these steps now, you’ll be better prepared for January 1, 2025!
